This question comes up often.

"I have lost my Contacts or Calendar entries due to a bad sync. or some other malady. Can they be recovered?"

The answer is: "probably."

This assumes that you have successfully synced your device to Outlook at some time, and the data for Contacts, Calendar, Notes and Tasks are/were stored in your Outlook.pst file - also known as the PIM file.

Then somehow, that file was corrupted or also wiped out, usually by syncing a blank phone (after hard reset) to your PC and blowing the ActiveSync or WMDC settings and having the blank data stored over the previously stored data. This leaves you with that sick feeling that all data is lost.

Fortunately, Outlook stores a backup PIM file. In Outlook 2003, it is known as Outlook.bak. In 2007 and 2010 there is no Outlook.bak file, but Outlook.pst can be restored to a previous version - for example, the version that existed with all your data before you wiped it out.

There are two ways to restore the backed up data to Outlook.pst. One is to use a system restore and restore the entire PC operating system to a point before the file was wiped out. This is pretty simple using System Restore, but it restores the entire PC to the time of the restore point. You won't lose new data, but all programs loaded between the restore point and today will be lost.

A slightly more complex method to restore Outlook.pst, is to go to the file itself and do the restore. This only affects the one file and doesn't affect the rest of the computer.

In Outlook 2010:

Using File Explorer on the PC navigate to:

C:\Users\username\AppData\Local\Microsoft\Outlook\Microsoft\Outlook\Outlook.pst

right-click on the filename and then click on the "Previous Versions" Tab. Follow the instructions to restore the file to a previous version that existed before you wiped out the Contact information.

Note: username refers to your username on the PC


In Outlook 2003:

Using File Explorer on the PC navigate to:

C:\Users\username\AppData\Local\Microsoft\Outlook\Microsoft\Outlook\Outlook.bak

Check the filesize to make sure it is approximately the same size as Outlook.pst. If not, your information may be lost, since it is an old backup. If the file sizes are approximately the same, or Outlook.bak is larger, right-click on the filename and then click on "Rename". Rename the file "Outlook.pst" and allow that file to overwrite the current Outlook.pst. That should restore the PIM file to a content that has the data that existed before you wiped out the Contact information.

Set up a new sync relationship between your PC and phone and be sure to set it up so the PC overwrites Handheld. If you setup Handheld overwrites PC, you will wipe out the data on the PC again!

After the sync completes and you verify that you have all data on the PC and device, then backup the device to your SD card using SPB Backup or Sprite Backup. That will place all data on the SD card and protect it from this problem reoccuring. Make a point of backing up your entire device to the SD card about once per week. I use two SD cards. One in the device and a second backup stored in my office, so if someone steals my laptop and phone, I still have my data. I can buy a new laptop and phone, do a restore from the SD card then sync to Outlook on the PC and be back in business quickly.
